Add your Vellcard email signature to Gmail, Outlook or Apple Mail

Copy your signature from Vellcard once, then paste it into your mail app. It takes about two minutes, and every email you send after that carries your photo, your details and a QR code that opens your card.

First, copy your signature

Do this on the computer (or phone) where you will paste it.

  1. 1Sign in to Vellcard and open your dashboard.
  2. 2Click Edit on your card, then Email signature at the top.
  3. 3Pick a layout (classic, compact or stacked) and what to include, then click Copy signature. The button changes to “Copied — now paste it”.
Use the Copy button
Selecting the signature by hand usually loses the layout. The Copy signature button copies it the way mail apps expect. Copy HTML is only for tools that ask for signature source code.

Gmail

On a computer, in Gmail in your web browser.

  1. 1Click the gear icon at the top right, then See all settings.
  2. 2Stay on the General tab and scroll down to Signature. Click + Create new, name it “Vellcard” and click Create.
  3. 3Click inside the signature box and paste with Cmd+V on a Mac or Ctrl+V on Windows.
  4. 4Under Signature defaults, choose your Vellcard signature for For new emails use and On reply/forward use.
  5. 5Scroll to the very bottom of the page and click Save Changes.
The easy one to miss
Save Changes is at the very bottom of a long settings page. If you leave without clicking it, Gmail keeps nothing.
Gmail on your phone
The Gmail phone app has its own text-only signature setting. Emails you send from a computer carry the full Vellcard signature.

Outlook

New Outlook for Windows, Outlook on the web and Outlook.com.

  1. 1Click the gear icon (Settings) at the top right, then go to Accounts and Signatures.
  2. 2Click + New signature (some versions say Add signature) and name it “Vellcard”.
  3. 3Click inside the signature box and paste with Cmd+V on a Mac or Ctrl+V on Windows.
  4. 4Tick For new messages and For replies/forwards so it is added automatically.
  5. 5Click Save.
Classic Outlook for Windows
Open a new email, then choose Message › Signature › Signatures and click New. Name it, paste into Edit signature, pick it under Choose default signature for new messages and replies, and click OK.
Outlook for Mac
In the menu bar choose Outlook › Settings, then Signatures. Add a new signature, paste it into the editor, and set it under Choose default signature for new messages and replies.

Apple Mail on a Mac

The Mail app that comes with macOS.

  1. 1Open Mail and choose Mail › Settings in the menu bar, then click Signatures.
  2. 2Select your email account in the left column.
  3. 3Click + under the middle column and name the signature “Vellcard”.
  4. 4Untick Always match my default message font. Leave it ticked and Mail restyles your signature.
  5. 5Click in the right column, select what is there, and paste with Cmd+V. Then choose it in Choose Signature and close the window. Mail saves it automatically.

iPhone & iPad

The built-in Mail app.

  1. 1On your iPhone, open vellcard.com in Safari, sign in, go to your card’s Email signature page and tap Copy signature.
  2. 2Open Settings › Apps › Mail › Signature. On iOS 17 or earlier it is Settings › Mail › Signature.
  3. 3Choose All Accounts or Per Account, delete “Sent from my iPhone”, then press and hold in the box and tap Paste.
  4. 4If it loses its layout, shake your iPhone and tap Undo when it offers to Undo Change Attributes. Then go back. It saves automatically.

Something not right?

It pasted as plain text, with no photo or layout.

Copy it again with the Copy signature button rather than selecting it by hand, and paste into the signature box itself. On iPhone, shake and tap Undo straight after pasting. If your mail tool has an "edit as HTML" option, use Copy HTML and paste it there instead.

The person I emailed cannot see my photo or QR code.

Many mail apps hide images until the reader allows them, and ask about it the first time. Your name, details, links and the View my card button always work, images or not.

My signature does not show up when I reply.

Set it as the default for replies too: "On reply/forward use" in Gmail, "For replies/forwards" in Outlook.

I changed my details. Do I need to redo my signature?

The QR code and the View my card button always open your latest card, so those stay current on their own. If you changed your name, title, photo or phone number, copy the signature again and paste it over the old one so the text matches.

How many signatures can I have?

One per card. The free plan includes one card, so one signature, with a small "Made with Vellcard" line at the bottom. Pro has up to eight cards, so eight signatures, and removes that line.
